Your personal information will be processed by Rialto Recruitment with company number BE0864.327.012 (office at 2845 Niel (HQ), Research Park Waterfront Darwin Incubator, Galileilaan 15 and office at 3600 Genk, C-Mine Crib Incubator, C-Mine 12), Atlantae Executive Search and IMSA Belgium (brand names).
Within the framework of the applicable laws and regulations of 25 May 2018, including the General Data Protection Regulation (AVG) also known as GDPR (General Data Protection Regulation), we are therefore pleased to inform you via this Privacy Policy about how we handle your personal data in connection with your visit to our websites or your communications with us via our websites, e-mail, telephone, social media or other channels.
By using our websites, you agree to the following terms and conditions applicable to Rialto Recruitment and its affiliated companies.
Personal data processed by us.
When you visit our website:
You can visit our website anonymously and find out more about us.
We regularly collect data on the use of our website, such as:
• browser type,
• duration of a visit;
• visited pages;
• IP-addresses (we can’t trace your identity via your IP-address).
With this information, we cannot identify you.
We only collect personal data if an e-mail address is provided voluntarily, for example to receive our newsletter or to receive further information.
How do we use it ?
If you provide us with your e-mail address or other (indirectly traceable) personal information, we will only use this information to send you our newsletter or to answer your questions.
You can always unsubscribe from the newsletter, your e-mail address will be removed from our database as soon as possible.
We will only disclose your personal information if we reasonably believe that we are required to do so by law or regulation. However, with the exception of the above, we will never provide your personal data to third parties.

How long do we keep your personal data?
The retention periods we use depend on the applicable legal retention periods.
As a candidate if you have not mediated or worked for us.
As a job seeker, we registered following personal data in our AVG compliant database: name and first name, address, gender, email, phone number, date of birth, CV, work experience, training, …
We have obtained this information by contacting you or by your registration on our website. At that moment we ask you and give you the explicit permission to use these data to find a suitable job for you.
We may also collect your information when it has been made publicly available or when you have made it publicly available on social media (e.g. LinkedIn) and it would appear that you are the right contact person for us to talk to as part of our services.
Your personal data will only be forwarded to our clients (employers) with your explicit permission in order to find you a suitable job within the framework of a current vacancy whose search has been entrusted to us.
In addition, we can also forward the data to third parties with whom we collaborate to organize assessments. It is possible that our recruitment services will use your personal details to confirm references and/or perform the necessary educational and background checks.
Your details are available up to 5 years after the last contact. We explicitly ask for your permission via e-mail after our last contact. You can also give us an explicit date until which you wish to keep your data available. This can also be a period further in the future than 5 years.
We use this information for the following purposes: to register your application and/or interest in our vacancies and interim projects, to maintain contact with you on matters such as recruitment activities, available vacancies, career opportunities and the various contact moments in a selection process.
You will then receive a confirmation e-mail from us each time one year after our last contact in which we ask for your permission.
If you no longer wish to be mediated, you can always unsubscribe immediately. You will no longer be approached and mediated. In that case your personal data will be archived and completely anonymized.
In case we have deleted your data, there is of course still the possibility that we make a contact attempt based on publicly available data.
As a candidate if you have been mediated by us or have worked through us.
Your personal data is available up to two years after termination of employment or 5 years after mediation or end of temporary deployment.
If you no longer wish to be mediated, you can indicate this. You will then no longer be approached and mediated. In that case, your personal data will be archived and completely anonymized, with the exception of those data which, through specific laws, prescribe a longer and statutory retention period.
These are the following situations:
• Data from the payroll administration that are fiscally relevant: 7 years (after retirement).
• Wage tax declarations: 7 years (after leaving employment).
• Copy of identity document: 7 years (after leaving the employment of the employee).
Purposes for which we use your personal information:
When you are looking for a job, we will process your personal data to:
• to help you find a suitable job;
• communicate with you about open positions and the progress of any applications;
• provide your details to suitable prospective employers, provided that you have given us your specific permission to do so;
• Provide you with notifications (job alerts) about open positions that we think might be of interest to you;
• to help and advise you during your search for a new job;
• to be able to ask you for feedback on our services;
and our obligations to our customers when you are offered a job.
If you ask us as an employer to work with you, we will process your personal data:
• to be able to offer you the requested service;
• provide you with reports on the work we do for you;
• advise you on relevant services and products;
• provide you with information on general trends in the job market; and
• ask you for feedback on our services.
Personal data of business relations
Rialto Recruitment | Atlantae Executive Search | IMSA Belgium processes the personal data of data subjects working for companies with which we do business in order to make offers for and/or provide information about the services and other activities and to conclude and maintain order agreements.
Among other things, we process the following personal data of business relations: names, contact details and functions of his contact persons.
Rialto Recruitment | Atlantae Executive Search | IMSA Belgium may consult the personal data obtained from its business relations if this is necessary to achieve the objectives of the business relationship or for the purpose of the mediation, and this from the point of view of justified interest for both parties.
This data may be disclosed to other entities, applicants or candidates, business partners and subcontractors (e.g., data processors) who provide services on behalf of our company, and in all other cases where we are obliged to do so, e.g. by court order or court ruling.
We have taken the necessary measures to ensure that all personal data transferred is adequately protected.
If the business relationship has ended, and the ‘customer relationship’ is over, we will keep the contact details of these relationships for up to 2 years after the last contact. If you do not want us to keep your contact details, you can indicate this at all times. In that case your personal data will be archived and completely anonymized.
You rights to access and / or change or delete data:
You have the right to inspect and amend your registered personal data.
If your personal data are processed on the basis of consent, you may revoke this consent at any time. You can contact your contact person at Rialto Recruitment | Atlantae Executive Search | IMSA Belgium or the Privacy Officer.
Right of objection
You can object to the processing of your personal data.
You can only do this against processing that takes place on the basis of legitimate interests. When exercising this right, you will have to indicate via your contact person or e-mail exactly which processing you object to and for which specific reasons.
This is necessary in order to be able to weigh up the interests correctly. You can easily object to the use of your e-mail address for Rialto Recruitment’s newsletters, promotions and marketing campaigns.
In any commercial or marketing e-mail you receive from us, you always have the possibility to unsubscribe.
You can access your data
You can ask for a definite answer as to whether or not your personal data are processed. If this is the case, you may request the following information: the purposes of processing, the categories of personal data we hold about you, the categories of recipients, the retention periods or the criteria for determining them, your other rights, other sources of origin of your data and the existence of automated decision-making. In providing this information, we must always take into account the rights and freedoms of other persons.
You can have your data rectified
You can ask to correct or complete any (personal) data that you consider to be incorrect or incomplete. When exercising this right, you will have to indicate via your contact person or e-mail exactly which data you wish to correct or supplement.
Right to data portability
You have the right to transfer the personal data that you have provided to Rialto Recruitment by Rialto Recruitment in electronic form to yourself (via the e-mail address that you provide in your contact person or e-mail) or to another processing manager designated by you (via his e-mail address that you provide).
Right toe erasure (right to be forgotten)
In cases provided by the GDPR, we will proceed to your request to delete your personal data.
Right tot restrict processing
You have the right to have the processing of your personal data restricted when:
– you dispute the accuracy of your personal data
– the processing of your personal data by Rialto Recruitment would be unlawful, but you still do not wish to invoke your right to data erasure.
– We no longer need your personal data for the purposes included in this privacy statement, but you still need them for instituting, exercising or substantiating a legal claim.
– you have objected to the processing of certain of your personal data (for the duration of the balancing of interests).
At the latest within one month after receipt of your application, we will inform you in writing of the action we have taken on your application.
This period may be extended by two months, depending on the difficulty of your application or the number of requests we also receive from other people.
In this case, we will inform you about this extension within one month after receipt of your form. In some cases (e.g. legal obligations, rights of other persons, prescription periods, …) you will not be able to exercise your rights, or not fully exercise them.
You will then be informed of the reasons why we cannot or cannot fully comply with your request.
Security
Rialto Recruitment | Atlantae Executive Search | IMSA Belgium makes every effort to protect your personal data and to guarantee your privacy against unauthorized use.
We do this by means of physical, administrative, organisational and technical measures.
For example, only authorized persons have access to the data.
If and in so far as data is provided to data processors who provide services or carry out orders on our behalf, we have agreed with these service providers that they also provide optimum security for the personal data.

Changes to the Privacy Statement
This Privacy Policy is not a static document. We may need to amend this Privacy Policy. We will of course publish these changes on our websites.
